E-Verify: Staff Requirement

E-Verify is required for all U.S. and Non-U.S. Citizens hired after November 6, 1986. If you have completed the I-9 form any time prior to 2010, you will need to complete a new form and show current documents.

The E-Verify regulation imposes serious consequences: employees who fail to receive employment verification, through the E-Verify system, by March 2010 will not be eligible for continued employment with SLAC. The deadline to complete a new I-9 form is March 12. To all those who have completed their new I-9 forms: thank you! For all who are planning to come in on their scheduled week: thank you! There are still many who need to come in with their documents to complete the form.

The E-Verify FAR clause has been added to SLAC's contract with the Department of Energy. Beginning January 4, 2010, SLAC is required to re-verify employment eligibility documents for all employees hired after November 6, 1986, through the E-Verify system. E-Verify is a database for entering I-9 form data and issuing employment eligibility verification. It is connected to the United States Citizenship and Immigration Services and Social Security Administration databases.

This federal mandate requires the Human Resources Department to meet with each affected employee to complete a new I-9 form, review and copy acceptable current documents, and input each employee's data into the E-Verify database. HR will input employees' updated document numbers into the E-Verify database, and obtain a verification number from the E-Verify system.

The list of acceptable documents is located at: www-internal.slac.stanford.edu/hr/forms/I-9Form.pdf. Please bring in one document from List A OR one document each from List B and List C. All documents must be current, unexpired.

If you are not certain of your hire date, please send an e-mail of inquiry to Rita Rhoads in the Records Office.

All U.S. Citizen/Permanent Resident Employees may bring their documents to either the Employment Services Office, located in Building 041, Room 233 or the International Services Office, located in Building 41, Room 243.

All Foreign National Employees must bring their documents to the International Services Office, located in Building 41, Room 243.

Schedule

The Employment Services Office (Bldg 041, Room 233) and International Services Office (Bldg 041, Room 243) will meet with Employees from 9:00 to 4:00 each day to complete a new I-9 form and review and copy current acceptable documents, based on the following schedule:


Week one - Last Names beginning A through E 01/04/2010 - 01/08/2010

Week two - Last names beginning F through K 01/11/2010 - 01-15/2010

Week three - Last names beginning L through P 01/18/2010 - 01/22/2010

Week four - Last names beginning Q through Z 01/25/2010 - 01/29/2010

Weeks five and six - Open to all who have not come in with their documents 02/01/2010 - 02/05/2010 and 02/08/2010 - 02/12/2010

Week seven - send out notification to all employees who have not come in with their documents, cc: their Department Heads and provide a list to the ALD's of those in their directorate who remain unverified.

Any employee who is not at SLAC during their scheduled week can come in at any time listed above.
